b) Booking and Contract

Once you decide on a package, we lock in your date, draw up a clear contract, and confirm all logistics — arrival times, venue access, layout, and any extra services you want (like DJ, photobooth, décor). 

c) Final Planning Call

Closer to your event, we’ll check in to confirm final guest numbers, table assignments, prize structure, and any special requests (themed décor, music cues, etc.). The goal is that no detail is left to chance! Our team is here to ensure your event runs smoothly. 

2. Setup & Arrival

On the day of your event, the Vegas on Wheels team arrives early to handle everything:

  • Delivery & Layout — Tables, chips, card shoes, casino-themed décor, signage, and other necessary equipment are brought in.
  • Setup & Testing — Your space is converted into a casino floor. Dealers do checks to make sure all equipment is functioning, lighting is good, and chip racks are in place.
  • Briefing & Walkthrough — A quick run-through among the staff ensures smooth flow, proper placement of dealers, and coordination with your venue (e.g. bar, food stations, entrance).
